When user(A) is absent, we have one option to substitute with another user(B). This substitute can display and process user(A) work items for the duration of the substitution. Substitution must be defined in advance. During absent period, substituted user(B) is able to see his own work items and absent user(A) work items. When a period of absence is scheduled, you name a substitute and then activate the substitution. We can control whether user(B) can display and process all work items or just specific work items.
Defining a Substitute.
- Go to SBWP transaction.
- To maintain substitute follow the below path.(Setting->Workflow settings->Maintain Substitute)
- Select the user ID and Click on Create Substitute button.
- Search the User ID that is to be substituted.
- Maintain the substitution period.If you check "Substitution active" check box, substitution is activated.
- When you click on save. The record is created as shown below. You will have activate/Deactivate buttons for the respective purposes.
Activating or Deactivating Substitution.
When you are creating Substitution, if you do not activate, you can follow the steps to active the substitution.
- To activate substitution, follow the below path.(Setting->Workflow settings->Activate/Deactivate)
- Click on activate.
- Click on deactivate button.
Changing or Deleting Substitution
You can change a substitution to (1) Define a earlier end date (2) Change the validity period (3) Assign a different substitute profile.
- In the Business Workplace, Settings → Workflow Settings → Maintain Substitute.
- Click on "Delimit"(1) to delimit the previously created substitution.
- Click on "Delete Substitution"(2) to delete the substitution.
